Ah, has it really been almost 10 years? Time has certainly flown by.

An anniversary bash certainly sounds like an awesome idea, and maybe I'll finally be able to make it somewhere cool (like LA) now that I have a girl who loves to travel- and can help me pay for it!! Smile

While a full-blown Convention is what we'd all love to see happen, I feel it would be more realistic to have a gathering similiar to what we did waaaay back in- when was that, 2002? in Chicago. A gathering of fans for a day or so, rent out a ballroom or something, maybe get guests on a conference call. A gathering is what to do when budgets are tight and planning takes a backseat to fun. It's far more informal. Someone mentioned Las Vegas earlier and that might be a good possibility as I believe flights there are cheaper. LA would be good too, as past experiences have shown, but we can pick locations later.

Although I do want to return to Brisbane in the near future...Wink

So... what's going on? Are we going to have this sort of convention, or not? Because I'm trying to persuade my parents to let me go since July... first, my cousin wanted to come with me, but then it appeared, that she has to go to France from July till the end of August next year (it has something to do with her University, I think). So I'm too young to travel alone Rolling Eyes , but I'll think of something... anyway, I have to know if we're really planning to have a convention... no pressure, but... are we going to have a 10 year anniversary, or not?

Sounds like people agree that a 'get-together' not a bigger scale con is the best option

All you con experts - what comes first - the location? a date? or a poll to see who would come? or a leadership group willing to organize an event?

Show me the money, honey! I've got enough people willing to pull this together; it's the extreme lack of funds that's the problem.

The only solution CAP and I came up with was to treat this like a school reunion and everyone just foots their own bill. Booking a room and holding a block of hotel rooms for attendees cannot be done without funds and we are seriously lacking those. As I've written in the past, my charge card held the deposits and up front money for putting on the 2004 and 2005 cons along with several other committee members paying out of pocket for expenses and some of them never got paid back and just chalked it up to the charity. This would also mean no guest stars. We can't afford them even if they were available.

We're also no longer an organization. That was dissolved after the 2006 Con, so we can't make this a charity event or raise funds to help put on a con.

We would suggest those that wish to gather together, try and do so. Perhaps small gatherings all over the world, since we are an international board. We've had bashes in the past and there are members out there who could give advice on how to run one. Maybe we could group in centrally located areas that would not be hard to drive to by surrounding states, provinces or whatever your area's called. For right now, these suggestions are the only thing we could come up with short of California Gal winning the lottery and sponsoring the event Very Happy

Oh... but making small gatherings means that, for example the fans from Europe won't meet the ones from the USA, right? Rolling Eyes I'd really like to meet some of the people who live in the USA too... but, if there's no other way, meeting some of the fans in Europe is better than nothing... Only if there was a way to make a gathering for the fans in Europe and the ones in the USA... But actually, how much does this reunion/gathering cost? Rolling Eyes

I'm not sure which costs you're referring to; a small gathering or a con. Some of the expenses of a small gathering might include hotel room costs per night, food, transportation to the location (gas, airplane ticket, if applicable, or other transportation expenses), then there's a room rental if you decide to rent one of the meeting rooms in the hotel to host an event where everyone can be together. There might be equipment rental depending on what you want to do such as renting a TV monitor and DVD player to watch the DVDs of the series and various other expenses that would depend on what everyone wanted to do. Some hotels might have rules regarding food being brought in from the outside; they want you to use their catering services. Of course, some restaurants have meeting rooms away from the regular customers where you can host an event for a few hours and everyone just stay at whatever motel or hotel they can find in the vicinity.

I know with some of the bashes in the past, the gathering was held in someone's private home with the hostess providing sleeping space for the attendees as long as the gathering was small, but I'm sure one of them could give you a better idea of how they ran their bash. I don't know if everyone was asked to chip in a certain amount beforehand to cover the expenses of food and whatever or how they handled it.

Now a full out con could cost thousands of dollars depending on just what was done, who was attending (stars of the show or the Dynamic Writing Duo, J&G Very Happy ), and other expenses. We had equipment charges, meeting room charges, food expenses, limos, plane tickets, unforseen stuff that came up....the list goes on. Just know that we can't do a big all out con (alas, alack:( ).

If we could find the money for another Con large enough to encompass our entire fan network around the world, we could probably fund the money to produce the ever promised Season Four.
Not happening.

We don't have a dollar left over from any of the previous Cons. Per Federal regulations, we had to account for and give any remaining funds to our last sponsered charity, which was the Elizabeth Glaser Pediatrics AIDS Foundation. We raised funds for the 2003, 2004, 2005 and 2006 Cons by selling T-Shirts, merchandise, donations, auctions and charging for tickets to attend the event. All these fund-raising activities had to be paid for in advance. For example, if we were selling T-shirts to raise monies, then we first had to find a vendor to sell them to us at the best price. Then we had to find a printer to print what we wanted on the T-shirts to make them special for the con. We had to pay these vendors up front for their services. Then we figured out how to make them affordable for interested buyers and still make a profit after our expenses were met. We also had to consider the cost of shipping and handling for each T-shirt. We're international, sending a T-Shirt to Germany cost a pretty penny. None of the committees were professional convention planners. Sure we had talent Very Happy, but our inexperience did cost us. The shipping and handling costs were a BIG issue that we did not forsee the first year. We were not paid to work on the cons. It was all volunteer workers giving up their personal time and money to get the cons rolling.

Even if we pulled together our best con workers, I don't have a zero balance charge card available to pay for any of the ground work to get this going. In these hard times with jobs and gas prices the way they are, I seriously doubt anyone else out there is in any better shape. Sure, a few of us could afford maybe a $100 or so, but it still would not be enough. The down payment on the hotel just to hold it was $1,500 and that was a few years ago. ALL the hotel monies had to be paid before we left the last day of the Con. I believe the hotel bill for the 2005 Con was around $8,000.

Tina, believe me, those of us who would LOVE to get together wish we could make another Con happen and yes, it would be wonderful to see all our friends from around the world. I've been priviledged to meet and work with several of our board members. I've enjoyed working with J&G pulling these together and getting with Michael (who is just the BEST Guest of Honor at any con! He's so giving of his time and talent and the attendees love him). Will, Jen and David have also given us their time and have been most generous with fans in the past. Rachel always says 'yes' to a phone call and in 2006, Peter's voice made an appearance along with Rachel that year. It's been great and since we were a charity organization, the Guests of Honor all 'donated' their time to us. They could have easily commanded more than $3,000 to $5,000 from us just to show up.

Well, Ive gotten carried away talking about the good ol' days again. Tina, you come up with the money and I'll run it for you.
